Terms & Conditions

These Terms and Conditions govern your access to and use of SurveyorSuite. By creating an account or using the Service, you agree to be bound by these Terms.

1. Definitions

• "Service" — the SurveyorSuite software application, including all features, templates, tools, and APIs.
• "Content" — any data, text, photographs, reports, annotations, or other material you upload, create, or store.
• "Subscription" — a paid plan granting access to the Service.
• "Trial Period" — the 14-day free access period from registration.
• "We", "us" — SurveyorSuite Ltd., registered in England and Wales. 4 Brading Road, London, SW2 2AN.

2. About the Service

SurveyorSuite is a professional software tool for creating, managing, and exporting survey reports. It includes templates, a phrase library, photo management, PDF/DOCX export, and cloud storage with offline mobile access.

SurveyorSuite is a productivity tool, not a source of professional advice. All reports, conclusions, ratings, and recommendations are yours. You remain solely and professionally responsible for them.

SurveyorSuite Ltd. is not affiliated with, endorsed by, or an approved supplier of RICS or any other professional body.

3. Account Registration

You must provide accurate information, keep your password confidential, and not share login credentials. Each Subscription is for a single named user. You must be at least 18 years old.

4. Free Trial

You receive a 14-day free trial with full access. We collect your card details at registration via Stripe — your card is not charged during the trial. If you cancel before the trial ends, you will not be charged. After 14 days, your card is charged automatically.

5. Subscription and Fees

Annual	£360 per year (£30/month)

VAT is added at the applicable UK rate. We may change fees with at least 30 days' notice. Failed payments may result in suspension after 7 days and termination after 21 days.

6. Cancellation and Refunds

Cancel any time from account settings or by emailing info@surveyorsuite.co.uk. Access continues until the end of your billing period. No pro-rata refunds for unused time. Cancel during trial = no charge.

7. Data After Cancellation

• Months 1–12: Read-only access. View surveys, download existing exports.
• At 12 months: Final notice — data deleted in 30 days.
• After 12 months: Permanent deletion of all Content.

Billing records retained for 6 years (HMRC). Download your reports before cancellation.

8. Your Data and Ownership

You own your Content. All survey data, photographs, reports, and annotations belong to you. We claim no intellectual property rights over your Content. You grant us a limited licence to store and process it solely to provide the Service.

9. AI and Machine Learning

Voice-to-text uses Google Cloud — audio is not stored. The phrase library is curated, not AI-generated. We may use anonymised, aggregated data to improve our products and develop new features. We never use identifiable data. Opt out any time by emailing info@surveyorsuite.co.uk.

10. Intellectual Property

The Service, templates, phrase library, and branding are owned by SurveyorSuite Ltd. You may not extract the phrase library or use it in competing products. You retain full ownership of your Content.

11. Acceptable Use

Do not: share credentials, reverse engineer the Service, use it for unlawful purposes, upload malicious code, scrape data, or develop competing products. We may suspend accounts that breach these rules.

12. Professional Responsibility

You are solely responsible for the accuracy of your reports, all professional opinions and ratings, reviewing all content before sending to clients (including phrase library content and AI-assisted text), and maintaining adequate PI insurance.

13. Service Availability

We aim for reliable availability but do not guarantee 100% uptime. We may take the Service offline for maintenance with advance notice where possible.

14. Limitation of Liability

We are not liable for loss of profits, data, reputation, or indirect losses. Our total liability is capped at fees paid by you in the 12 months preceding the claim. Nothing excludes liability for death/injury, fraud, or data protection breaches.

15. Changes to These Terms

Material changes: 30 days' notice by email. Non-material changes may be made without notice. Continued use = acceptance.

16. Termination

You may cancel any time (Section 6). We may suspend/terminate for material breach (14 days to remedy), non-payment (21 days), fraud, or insolvency.

17. Governing Law

These Terms are governed by the laws of England and Wales. Both parties submit to the exclusive jurisdiction of the English courts.

18. General

These Terms constitute the entire agreement. Invalid provisions are severed. No third-party rights. Force majeure applies. Failure to enforce a right does not waive it. You may not assign without consent.
